1. Introduction and Scope
This AI Usage Policy ("Policy") outlines the principles, methods, and measures we employ in the use of Artificial Intelligence (AI) and generative AI tools within our organization. Our commitment to transparency, accountability, and quality is grounded in the applicable legal requirements, particularly Article 4 of the EU AI Regulation, which mandates transparency in AI usage.
This Policy covers:
- The application of AI-driven systems to support our content and processes.
- Quality assurance and review of AI-generated content.
- Data protection and ethical principles in the use of AI.
- Disclaimers and limitations of our responsibilities.
We also utilize AI for:
- Animated video sequences to enhance learning experiences.
- Contextual development for training programs.
- Creation of text content, imaging, and training manuals.
2. Transparency in AI Usage
We use various AI tools to enhance the efficiency and quality of text, image, video, and transcribed content. AI is solely applied as a supportive tool to structure, optimize, and refine our materials.
2.1 Deployed AI Technologies & Their Application
- ChatGPT (OpenAI) & Perplexity.ai → Creation, optimization, and structuring of text (blog articles, email marketing, social media posts, website copy, funnel content, and product documentation).
- Midjourney → Generation of graphics, illustrations, logos, photorealistic images, and design elements.
- Happyscribe → AI-powered transcription of audio and video content for subtitle creation and text summaries.
- Filmora Wondershare → Application of AI-enhanced features for video and audio improvements, animation creation, and AI voice processing.
- Research AI Tools (e.g., ChatGPT, Perplexity) → Support for structured information retrieval.
- Create Animate Studio 4 - Background audios
We ensure that AI-generated content is never used without human review. Every AI-generated output is examined, validated, corrected, and optimized by an expert before public use.
3. Quality Standards & Responsibility in AI Usage
3.1 Manual Review & Quality Control
- All AI-generated content undergoes manual verification for accuracy, plausibility, and quality.
- AI serves as an assistant, not as the sole source for content decisions.
- We employ prompt engineering principles to maximize accuracy, depth, and structure in our outputs.
3.2 No Processing of Personal Data through AI
- We do not input personal or confidential data (neither our own nor third-party data) into AI systems.
- If external content is analyzed or processed, it is handled manually and with the highest standards of data protection.
3.3 Error Reduction & Mitigation of AI Hallucinations
- AI may generate "hallucinations" (false statements or invented content).
- We validate all critical information through additional research and manual checks.
4. Legal Framework & EU AI Regulation (Article 4)
4.1 Transparency Obligation under EU AI Regulation
- According to Article 4 of the EU AI Regulation, organizations are required to clearly indicate when content is generated using AI.
Our content is created and verified by human experts, with AI serving purely as a supportive tool. We adhere strictly to legal frameworks, including the categorization of AI systems by risk level and compliance with data protection and security regulations under GDPR.
- We do not employ unethical or prohibited AI practices, such as mass manipulation or unauthorized biometric analysis.
5. Data Protection, Ethics & Social Responsibility
5.1 Ethical Use of AI
- We utilize AI responsibly and ethically. This includes:
- No unauthorized use of AI for critical or misleading content.
- No use of deepfakes, manipulative AI images, or fake personas imitating real people.
- Adherence to the highest journalistic and editorial standards.
5.2 Data Protection & Security
- Our systems are GDPR-compliant and adhere to strict data protection guidelines.
- AI is not used for processing sensitive or personal data.
- We take technical and organizational measures to keep AI-generated content secure and traceable.
6. Disclaimer & Liability
6.1 No Guarantee for External AI Sources
- While we exercise the highest diligence in AI usage, we cannot guarantee the accuracy of external data sources, AI-generated suggestions, or evolving algorithms.
- Content from third-party websites, AI tools, or providers does not represent our opinions.
6.2 No Affiliation with AI Providers
- We are not affiliated with OpenAI, Google, Perplexity, Anthropic, Meta, or any other AI companies, nor have we developed or trained proprietary AI models.
7. Future Updates to this Policy
As the legal and technological landscape for AI continues to evolve, we reserve the right to regularly update and adjust this AI Policy.
